AGM Minutes November 2021

Minutes of the Annual General Meeting (AGM) of the South Wales Region of the Goldwing Owner’s Club of Great Britain held on Sunday, 14 November, 2021 at the premises of Taffs’ Well RFC, Maes Gwyn, Glan y Llyn Square, Taffs’ Well, Cardiff, CF15 7JD, commencing at 1830.

Welcome and Notice of Meeting

Mr B J Hawkins opened the meeting by welcoming everyone and thanking them for their attendance.   He confirmed that the Notice of the Annual General Meeting had been given in accordance with the GWOCGB constitution, all members having received at least fourteen days’ notice of the meeting.  He reminded attendees that only registered GWOCGB members could vote on the Region’s annual general meeting business.  He also apologised for the non-holding of an AGM in 2020 due to Covid restrictions.

Minutes of the 2019 AGM

The minutes of the 2019 Annual General Meeting of South Wales Wings, a region of the Goldwing Owner’s Club of Great Britain, held on Sunday, 9 February, 2020 were considered and unanimously approved (Mr B Simpson proposed, Mr J Howells seconded).

Annual Report

Mr. M Green verbally outlined the very limited progress that the Region had achieved during 2020 and 2021 to date due to the very severe Covid restrictions that had been placed on members, as set out in his report below:

Firstly, I would like to reiterate on Bob’s 2019 report regarding the membership of the Club, I feel that even with this dreaded Virus we still remain a strong Region and hopefully with new membership looming and the Virus beginning to be reduced that we go into 2022 and emerge even stronger than before.

The Region has been noticeably quiet this again is down to the Virus, it was only when the restrictions were lifted we did manage to venture out to Wing Dings and even then, they were eventful, I broke down trying to attend one and Lester just making it with a snapped trailer chassis. The National Rally that was put on instead of the Treffen was a very successful event with many Wingers meeting and greeting; roll on the Treffen in 2022.

South Wales Wings has missed out on our own events with static displays unavailable to us which resulted in a loss of charity funds also our Light Parade had to be cancelled and run outs not viable, but we tried to make up by attending two requests for an escort to attend funerals, one a past member and one an ex-police motorcyclist.

We also received a request to attend a Vintage Motorcycle event which was held at the Swansea Bus Museum, four units attended and Roy (Bow) Jones won a trophy for best Trike.

In all we have had our share of the dreaded Virus with several of our members catching same and thank goodness they are on their way to getting back to full health, A few members also suffered various other

Illnesses and they too are on the mend.  Just a mention regarding the WingSpan again we require any reports of your various stories, run outs or any events that would be interesting to enter into the Span, without your stories there would be no Span.

Just to round off my report I hope that we continue into 2022, bigger and better and our Wing Ding and Light Parade can take place and be successful.

Treasurer’s Report

Mr B J Hawkins presented to the meeting his Report dated 1November, 2021 which consisted of a Receipts and Payments Statement for the twenty four months ended 31 October, 2021 together with cash/bank reconciliation, a List of Donations made during the period and a Stock Reconciliation as at 31 October, 2021 (copies attached). 

It was noted that during the period Payments had exceeded Receipts by an amount of £688.48, this not being a Wing Ding year (31 October, 2019 Payments had also exceeded Receipts by £1,701.28).  Balances at the Region’s Bank Accounts and Cash in Hand amounted at 31 October, 2021 to £4,802.18 (31 October, 2019 – £5,490.66). There were no notable payment transactions made due to the lack of activity apart from our donations and equipment purchased. No notable income transactions took place again because of the lack of meetings and events although donations of £230.00 had been received.  The Treasurer remarked that it had been a reasonable good financial year despite Covid however, a loss was inevitable. Fortunately, we had the funds to meet the shortfall. The Statement was unanimously approved by the meeting following a proposal by Mr R Simpson, duly seconded by Mr V Williams.

The Donations Made and Equipment Purchased Statement dated 1 November, 2021 was considered and approved by the meeting following a proposal by Mr R Simpson and seconded by Mr V Williams.  It was noted that our charities had been very well supported by amounts and gifts. A donation had been paid to Blood Bikes Wales of £500, and goods to the value of £105.06 to Cardiff Christian Street Ministries.  The Equipment Purchased section of the Statement showed an amount of £168.46.

The Region’s stock value had again reduced during the period and totalled £1,948.82 as at 31 October, 2021 (£2,213.07 – 31 October, 2019). The meeting unanimously approved the Stock Reconciliation Statement following a proposal by Mr R Simpson, seconded by Mr V Williams.

The Treasurer thanked all the members for supporting him throughout the year.

Allocation of Donations for 2020/2021

Following the proposal of the Treasurer, seconded by Mr V Williams, it was unanimously agreed that a Charity Commission registered local charity be supported and that a donation of £500 be made to Blood Bikes Wales (Charity Number 1143352), an NHS blood/plasma transportation support service that provided its service on evenings and bank holidays when the NHS service did not operate, the service being staffed by volunteer motor cycle riders including some members of the Region. This amount being drawn from the Region’s reserves. 

 

Unilever plc had recommenced offering pot noodles to selected charities and we were fortunate to be included in their distribution. We had therefore supported the Vale Foodbank, HCT and Salem Baptist Chapel with regular and large donations. 

Selection of Charities for 2021/2022

 

It was unanimously agreed by the meeting that Blood Bikes Wales (proposed by the Treasurer, seconded by Ms K Hodges) be the Region’s nominated charity for the twelve-month period commencing 1 November, 2021.

Vote of Thanks

On behalf of the other members, Mr B J Hawkins gave a Vote of Thanks to Mr M Green, Mr R Woods, Mr L Kenting, Mr K Turner and Mr J Howells for the work they had undertaken for the Region during

the preceding twenty four months, the membership was very grateful.  All were congratulated by the membership in the usual way.

Appointment of Officers

There being no other nominations, and as Mr Green, Mr Woods, Mr Hawkins, Mr Kenting, and Mr Howells offered themselves for re-election, they were duly appointed following a proposal by Mr H Beese and seconded by Mr B Simpson.  The meeting unanimously therefore appointed Mr Malcolm Green as Regional Representative, Mr Roger Woods as the Assistant Regional Representative, Mr Barry Hawkins as the Region’s Honorary Treasurer (and Quartermaster), Mr Lester Kenting as Regional Road Captain and Mr Jeff Howells as Regional Webmaster.

Winger of the Year Award

Following a proposal from Mr L Kenting, seconded by Mr R Jones, that “The Bob Carter Winger of the Year Award” be no longer presented annually to members but instead be preserved in the Region’s trophy cabinet, the meeting unanimously agreed that this was a fitting and long lasting tribute to Bob.

Other AGM Business

There was no other AGM business raised by the membership.

There being no further relevant business, Mr BJ Hawkins closed the meeting at 1855.
